What do you put on a wedding details card?
What Should You Include In A Wedding Guest Information Card?
The guest information, or details card, is an essential element of the wedding invitation suite,
it helps streamline communication with your guests.
This enclosure card ensures your guests will have all the necessary information at their fingertips, making your big day run as smoothly as possible from the very beginning. Here’s a guide to what you could include in your wedding details card.
What are the important things to include on the guest information card?
RSVP Details
If you are not having a separate RSVP card, it’s useful to tell guests of how and where to submit their response (via mail, email, text or website) and the deadline. Remember to ask them to include any special dietary restrictions they may have.
Venue Details
Give the full address(es), telephone numbers and web addresses.
As most guests will have access to SAT NAV, or maps on a mobile phone, it isn’t necessary to put full directions on the wedding information card. However, sometimes it may be useful, for example if the postcode sends guests to the wrong entrance of your venue, or the perhaps the hotel gates aren’t easy to find etc.
Timings
It might be an idea to add a note about what time you would like your guests to arrive. For example: “Please arrive for 1.30am to be seated, the ceremony begins promptly at 2.00pm”
Transport and Parking
Everyone loves knowing where to park! If it is obvious, you don’t need to include this information, if not give instructions to avoid any confusion.
Giving the name of the nearest train or bus station and the distance from the venue will be very useful for guests not travelling by car.
If you are arranging shuttle transport for your guests, make sure you add the locations and times of pick up and drop off.
Accommodation and Taxis
For out-of-town guests, give details about hotels etc nearby. If you have reserved a block of rooms at a special rate, include the booking code. Make sure to suggest hotels at different price points. It is also helpful to state how far the hotels are away from the wedding venue; this makes planning taxis etc easier.
Always include taxi firm numbers on your details card and remember to mention what time the reception will end, so guests know what time to arrange pick up.
Top Tip - Think like a wedding guest, what information would you like to know?
Dress Code
Your guests will appreciate knowing how to dress for the occasion. No one likes to be over or under dressed! As an example, indicate whether the dress code is black-tie, formal or semi-formal, or casual. You can be specific – something like hats are encouraged, or maybe that trainers and trousers are actually allowed!
Children
If you do not want children attending your wedding, informing guests via the guest information card is ideal. This way it minimises the chance of offending anyone, and families have enough time to arrange childcare for the day. There are lots of ways to write ‘no kids!’ in a polite way, for example: “While we love your littles one dearly, we have decided our wedding is to be adults only. We hope you are still able to join us”
Alternatively if children are going to be invited to your wedding, you can use the details card to ask if they need a high chair, or child’s meal etc.
Wedding Gift Wishes
It’s seen as bad form to ask for wedding gifts on the actual wedding invitation; so the details card is the appropriate place to provide this information. You can include links to your gift list or a note to say you would prefer a monetary gift.
Just as with ‘no kids at our wedding’, there are ways of saying ‘give us money’ politely!
If this is the only information you want to include with your invitation, you can have a smaller card.
Wedding Website
If you have a wedding website, the wedding information card is the perfect place to share the address.
A wedding website can house additional details, such as a schedule of events, unplugged ceremony wishes etc, which can be too cumbersome for a small card. This is also an easy way for your guests to RSVP.
We can print a QR code for easy access to your website, which makes things super simple.
You may have a separate smaller card if you only want to give your guests the website address.
Contacts
Designate a point of contact for any questions before and on the day of the wedding. Before could be a parent, or yourselves. On the day could be your wedding planner, a member of the bridal party, or a family member. Provide their phone number and, if possible, an email address.
TLDR: A well-crafted wedding details card ensures your guests have all the essential information to enjoy your special day. It’s a thoughtful touch that reduces confusion and stress, allowing everyone to focus on celebrating your wedding. Include clear, concise details, and your guests will thank you for making their experience seamless and enjoyable.
